You are sent a comprehensive report about 120 days before your tenant’s lease is about to expire. We provide you current comps of similar properties and will provide recommendations so you have insight on what you think is best for your property. This enables us to keep up with market rates and maintain the cash flow for your property.

ASSEST INSIGHT:
Upon Turnovers, our team will provide a detailed report which will outline optional upgrades which will maximize your asset’s market rental rate. This enables our owners to keep up with market trends and have your home appeal to a wider range of applicants.

Non-City of PDX Homes:

  • Credit Scores of 700+
  • 2 Years of Professional Landlord History
  • 2.5X income of the monthly rent
  • No outstanding collections
  • No evictions, bankruptcies, or criminal background (based on Oregon law)

City of PDX Homes (must comply with local ordinances):

  • Credit Scores of 500+
  • 1 year of Professional Landlord History
  • 2X income of the monthly rent
  • No evictions, bankruptcies, or criminal background (via City of PDX laws)

PROTECT YOUR ASSET

LEASE CREATION:
Our leases follow all up-to-date Oregon tenant laws to ensure our Owners and your assets are fully protected. All tenants and co-signers (if applicable) must complete each addendum in full prior to move-in to ensure compliancy to all lease terms throughout the tenancy. 

MOVE-INs:
Our move-ins are exceptionally detailed with pictures of all interior and exterior areas. Our specialists check every aspect of the home and document the condition in full. This allows us to easily apply tenant damages (if found) to security deposits upon termination of tenancy.

MULTIPLE YEARLY WALKTHROUGHS & INSPECTIONS:
Delavan prides itself with visiting your home frequently each year via multiple walkthroughs. We will submit our findings to you with a comprehensive report to you for each walkthrough. Our Handyman Inspections will have our internal team report to us with any additional findings. 

90 Day Walkthrough – The first takes place about 90 days from the move-in appointment. Our staff takes photos of all exterior and interior areas of the homes. All water features, smoke/carbon detectors, hvac, and appliances are checked. A comprehensive report of our findings & photos are provided to see the condition of your home.

6 Month Walkthroughs – We conduct six month walkthroughs after our initial 90 day walkthrough. Our staff takes photos of all exterior/interior areas of the homes. All water features, smoke/carbon detectors, hvac, and appliances are checked. A comprehensive report of our findings & photos are provided to see the condition of your home.

Yardchecks – We will visit your home once in the Fall and once in the Spring to conduct inspections of the front/side/ and backyards to ensure your tenants are maintaining proper care of the landscaping. These yardchecks may sometimes be packaged within the 6 month Walkthrough time if timing coincides. 

TURNOVERS/MOVE-OUTs:
Upon termination of a lease, Delavan quickly conducts a thorough inspection at the property. We utilize our comprehensive move-in report and photos to address any tenant damage. Any tenant damage items or non-compliance to lease terms (such as poor landscaping) will be applied to the tenant’s security deposit. Wear and tear items will be an Owner expense per Oregon law. We will provide you with insight on which areas may need some improvements to maximize your rental rate. Delavan will dispatch all cleaning services, conduct repairs if needed, and get your home back on the market and limit your vacancy period!

TENANT LIASION:
Delavan serves as the primary contact between you and your tenant. As your liaison, we handle requests, questions, and issues regarding rent, leases, repairs, and requests. We know how important communication and diligence is in regards to tenant inquiries. We strive to have your home be occupied with happy tenants!

OWNER COMMUNICATIONS:
Delavan is here to serve you and keep you up-to-date with everything happening on your property. We endeavor to provide you with exceptional service and prompt communication based on your preferences.

REPAIRS & MAINTENANCE

REPAIRS:
Timely and quality repairs are critical to protecting your investment and to provide your tenants with a happy home. Delavan provides reliable and cost-effective services to ensure your repairs are promptly completed. Delavan’s Handyman Services and Contracting Services are knowledgeable and efficient. For repairs that are a bit more extensive, Delavan utilizes a Preferred Vendor List to source specialized repairs to whom gives us priority and discounts, which we are able to pass those savings onto you!

ANNUAL MAINTENANCE:
All homes need yearly maintenance to protect your asset and keep it in great condition. Delavan offers discounted HVAC, gutter cleaning, pressure washing, duct cleaning, to our homes.

FINANCES & TAX REPORTING

GENERAL ACCOUNTING:
Delavan utilizes in-house accounting to handle your home’s financial transactions. Our automated systems allow us to make all payments for your property (mortgage, taxes, HOA fees, vendors, etc).

MONTHLY OWNER STATEMENTS:
A detailed Owner Statement is issued to you on the 10th of each month via your Owner Portal. This statement chronicles all expenses and incomes derived from your property to keep you up-to-date.

RENT COLLECTION:
All tenants are required to submit rent payments by midnight of the 4th each month. Ensuring prompt and full payment for your home is pivotal in managing your property and Delavan communicates with all tenants to ensure timely payments so you can access your rental income quickly. Rental income is disbursed to our Owners between the 14th-16th of each month via direct deposit.

TAXES & 1099 FORMS:
Delavan will provide you with a 1099 each year to make taxes a breeze. Let us know if you would like a referral to an experienced CPA who specializes in Real Estate accounting!

MANAGEMENT FEES:

Delavan charges two fees- The first is applied for a brand new tenancy. It is a one- time charge of 50% of the first month’s rent. This covers getting the home on the market, onboarding all items, showings, screening tenants, lease creation, move-in, etc.

After move-in takes place, our monthly management fee kicks in for the remainder of the tenancy. If a tenant decides to renew at the end of their lease, then the standard monthly rate continues. If a tenant decides to non-renew, we list the home back on the market and the 50% management fee occurs again (new tenancy) and then the monthly management fee (see below) commences for the remainder of the tenancy. 

Monthly Management Fee Breakdown:

  • City of PDX – Our monthly management fee located in City of PDX and Multnomah county is 12%. This is due to City of PDX having their own laws and many additional stipulations regarding screening criteria/listing laws/and reconciliation practices that we need to remain compliant with which takes up a significantly larger amount of admin time and processing.
  • Non-City of PDX: For homes not within the City of PDX, our standard monthly management fee is 10%.
  • Volume Property Discount: Ask us about our volume property discount monthly management fee!

LEGAL

Notice of Entry:
Delavan provides legal notice of entry for instances of interior or exterior entry to remain compliant with Oregon law.

Notices/Violations:
There are occasions when a tenant must receive a notice of violation to ensure lease compliance or timely rent payments. Delavan will provide the legal notice and diligent tenant communication to correct any issues that may arise.

Evictions:
There may be an occasional tenancy which ends in eviction due to non-compliance or non-payment of rent. Rest assured Delavan has you covered. Our experienced attorneys and helpful staff are here to help throughout the process and get your home back on the market!

Landlord/Tenant Compliance:
Delavan staff take CEUs and seminars throughout the year to keep ahead of the ever-changing Oregon tenant laws. Our duty is to protect our Owners, Tenants, and our company by adhering to the laws and remaining compliant. Delavan will provide you the knowledge needed to make the best decisions for you and your assets.
